LITIGATION LEGAL ASSISTANT

JOB SUMMARY:

The Litigation Legal Assistant provides legal and administrative assistance to the litigation attorneys and paralegals on cases involving elder law – wills, trusts, conservatorships, guardianships, probates, and estates. They will also perform a wide variety of duties requiring a high level of accuracy with varying degrees of autonomy, including client intake.

POSITION PURPOSE:

To support the litigation department by providing legal and administrative assistance to the attorneys and paralegals. Also, to serve as the first point of contact for new and referred litigation clients.

ESSENTIAL FUNCTIONS:

Responsibilities include, but are not limited to:

  • Work directly with new clients to complete intake form, gathering pertinent information to help attorneys decide next steps
  • Schedule, calendar, and confirm client meetings, opposing counsel, and/or the court
  • Manage calls to attorneys and return calls, as needed
  • Process dictation through Dragon Speech/Philips, Outlook, and/or Microsoft Word software
  • Determine case deadlines and oversee/follow up on litigation calendar system
  • Draft correspondence, memos, etc.
  • eFile, serve, and/or eRecord documents
  • Collect information and documentation to prep for cases – e.g., correspondence, pleadings, discovery, and other documents
  • Conduct weekly review and provide follow-ups on all litigation assigned files
  • Follow workflow procedure to open and close litigation files
  • Assist with preparing electronic files for hearings
  • Assist with preparing exhibits, exhibit books, and other physical materials for depositions, mediations, hearings, and/or trials, including Bates labeling
  • Perform other miscellaneous tasks on files – e.g., petitions, objections, withdrawals, and other tasks
  • Use NetDocs, PracticeMaster, Tabs, and other software programs to manage client data and perform other daily responsibilities
  • Perform other related tasks as assigned

This position may be for you if you have the following:

  • 2 to 4 years of Litigation Legal Assistant experience preferred but not required
  • Strong verbal and written communication skills, exhibiting a high degree of accuracy
  • Able to work independently, efficiently, and accurately in a fast-paced environment
  • Attention to detail is key
  • Strong organizational skills and ability to maintain multiple data management software solutions
  • Able to adapt to rapidly changing priorities, multi-task, and track assigned projects
  • Able to manage an active calendar and meet exact deadlines
  • Able to work proactively to assist attorneys
  • Excellent computer skills; proficiency with Microsoft Office and Adobe
  • Experience with eFiling and eRecording preferred but not required
  • Experience prepping and scanning files into electronic document management system
