LEGAL ASSISTANT

JOB SUMMARY:

The Legal Assistant provides legal and administrative assistance to attorneys, including calendar management, client scheduling, organization and tracking of cases, and document preparation. The Legal Assistant will be required to perform multiple tasks with a high level of accuracy and varying degrees of autonomy.

POSITION PURPOSE:

To perform tasks such as managing and filing documents electronically, scheduling appointments, compiling complex documentation, and scribing dictation. Also to serve as the primary point of contact with clients.

ESSENTIAL FUNCTIONS:

Responsibilities include, but are not limited to:

  • Manage multiple client communication priorities in a timely manner, including but not limited to; retrieving/taking messages, consulting with attorney/returning client calls and efficiently managing heavy email traffic
  • Manage cases for assigned files and provide clients and stakeholders with information in a timely manner
  • Manage and monitor attorneys’ electronic calendar(s) and scheduling client appointmentsAssist with preparing and disseminating all client files and paperwork prior to appointments and sending all follow up correspondence in a timely manner
  • Complete dictations of correspondence and documents using firm’s dictation software
  • Manage all client information, including financial, emails, and other relevant documentation, in management system
  • Draft and prepare real estate documents, recording real estate documents in Minnesota counties utilizing eRecording
  • Witness execution of documents
  • Prepare files for closing
  • File documents electronically (eFiling) with the courts
  • Manage attorney’s mail
  • Manage client invoices, as needed
  • Assist elder law department in preparing, tracking and organizing Life Care Planning cases/clients
  • Other duties and tasks as assigned

This position may be for you if you have the following:

  • 2 to 4 Years of Legal Assistant experience – elder law practice preferred, but not required. 
  • Strong oral and written communication skills exhibiting a high degree of accuracy.
  • Ability to work independently, efficiently, and accurately in a fast-paced environment.
  • Attention to detail is key. Strong organizational skills and ability to maintain multiple data management software solutions.
  • Ability to adapt to rapidly changing priorities; ability to multi-task and track assigned projects.
  • Ability to work proactively to assist attorneys.
  • Excellent computer skills; proficiency with Microsoft Office. Experience with PracticeMaster and firm-specific data management system is preferred. 
  • Experience with eFiling and eRecording preferred, but not required.
  • Experience prepping and scanning files into electronic document management system.
